MAD-Tri AGM - The Sun Marlborough Saturday 18th Nov 2006
Those present were Steve Coombes (Chairman), Jon Glyde, Ian Merrington, Jacquie Cole, Melanie Pomeroy-Kellinger, Jacquie Wright (Social Secretary), joined later by Bryan Avery, Brian Nichol, Sarah Hobbs (Secretary), Phil Hobbs (Treasurer) and Abi Hebbard. Apologies received from Ros Eyles and Dave Geddes
1. Steve Coombes opened meeting at 18:10 and explained he had 3 points to cover in the hour ahead
- to agree and vote in a new committee
- to ascertain the direction of MAD-Tri club
- feedback from club members of what they would like the club to be doing.
2. Steve will step down as chairman. He has enjoyed the year in office but feels it should be handed over to someone who can give more time to it. The 3 posts required by the constitution are Chairman, Secretary and Treasurer. Ros Eyles is to step down as vice chair; Jacquie and Andy are to step down as social secretaries; Sarah Hobbs is to re-stand as secretary, Phil Hobbs is to re-stand as treasurer and Dave Geddes to re-stand as welfare and training officer.
- Jon Glyde has expressed an interest in becoming Chairman, and Steve feels that he would make an excellent candidate. Steve Coombes proposed Jon as Chair, Jacquie Wright seconded him, and Jon was unanimously voted in.
- The next position to be discussed was that of treasurer. It was felt by the attendees that the job inevitably goes to Phil, but perhaps there were other club members who were qualified to do the job and should be proposed for future years. A discussion ensued regarding signatories on the bank accounts. Steve Coombes as Chair last year was not a signatory, and it is felt that this year the 2 signatories should be treasurer and chairman. The new club Chairman agreed to raise this issue at the next Committee meeting.
- Phil was proposed as treasurer by Ian, seconded by Jon Glyde and voted in by majority.
- Sarah Hobbs was proposed as secretary by Bryan Avery, seconded by Mel and voted in by majority
- Ian Merrington expressed that he would be willing to take on vice chair role. He was proposed by Steve, seconded by Jacquie W and voted in by majority.
- Dave Geddes is happy to stand as welfare and training officer. He was proposed by Jacquie Cole, seconded by Mel PK and voted in unanimously.
- Abi Hebbard said she was honoured to be asked if she would stand for social secretary. She was proposed by Steve, seconded by Jaquie Wright and voted in unanimously.
- Jacquie Cole said she was happy to be brought in as required for help with social/training and organisation.
2. The floor was then opened to Club members for their ideas and feedback. Many aspects of Club activities were enthusiastically discusses and summarised below. The new Chairman agreed to support and develop these suggestions throughout his period of office.
- Steve Coombes has asked for help with the newsletter. Jacquie Cole has offered to help with publishing it. It is proposed to make it an annual publication. Steve is to send out a group e-mail asking for contributions to the Newsletter, along with a deadline date for these contributions.
- Flyers are to be produced initially by Jacquie Wright to direct people to the website to find news and events.
- Jacquie Wright still has T-shirts which advertise the website which she will take to next swim session and advertise through e-group.
- Committee meetings are open to members and those members should be made aware of this and encouraged to attend. Members must be made aware through the e-group of what the committee are planning and organising. The membership must be encouraged to contribute regularly to the website. Only 6 people so far have re-registered after the crash.
- Fitness testing in the form of a beep test is to be introduced. Andy Smith has a copy of the test on CD.
- Plenty of other ideas for training were muted but it is essential that club members join in with the organised events in order to keep them going. It is felt that 6 weekly repeats are best bearing in mind the number of different type of events planned such as fat tyre, run from, turbo, chopping knife lane handicaps etc.
3. Treasurer’s Report – Phil Hobbs
- Both Club accounts are in the black. The Club account has £1493.79 with £342.06 in the float. The sum of £395 is still committed to pay off the remaining pool sessions (which have been running historically as cost neutral) at Marlborough for 2006.
4. Secretary’s report – Sarah Hobbs
- Club membership currently stands at 40 adults and 8 juniors, an increase of 8 adults and a loss of 1 junior. Six adults joined in October coincident with the start of the winter swim sessions. The Club generated £685 of its funds from membership fees.
5. Club Website.
- Bryan Avery reaffirmed his willingness to retain the responsibility for the technical aspects of the website, but not the editorial content. In addition to Bryan’s back-up of the site, Andy Smith will continue to independently take a back-up. The new committee were asked to keep administration of the website on future agendas.
- Jaquie Wright volunteered to send out a group e-mail to encourage members to contribute to the website, and remind us all that it is our website and relies on our input.
6. Target events.
- It was agreed that the new committee would continue with developing and promoting the Club ‘Target Events’ competition.
7. Video Swim Analysis.
- The video swim project is still a ‘work in progress’. Sarah Hobbs outlined the progress so far and informed the meeting that the event was still planned to take place in Jan or Feb dependent on the availability of pools and instructors.
8. Next Committee Meeting.
- Jon Glyde was keen to gather together the new committee as soon possible. The date was set for the second Wednesday in December (13th December 2006), location to be confirmed.
